How We Work

— HOW WE WORK —

Step One: Contact us at info@craftedireland.com or feel free to email any team member directly. We promise a swift reply to your initial enquiry within 24 hours during the work week or on the following Monday if the request falls on a Friday or weekend. From here, we’ll begin with a short series of questions to help us understand your client’s styles, preferences and wish list.

Step Two: Once we understand your client’s budget and expectations, we begin mapping out an itinerary with elements that are hand-picked based on your client’s profile. We do our very best to include all the must-sees and must-dos while also maintaining an enjoyable pace that will allow them to fully appreciate their time at the fabulous properties and with the locals and guides they will meet along the way. Typical turn-around time for a full proposal once we begin is 24-48 hours during low season and 48-72 during busy season. As the demand for travel stays high and Ireland remains very busy, we may ask for extended time if required. Bear in mind that Crafted Ireland will never send out a sample itinerary or a “copy & paste” itinerary. We take the time to ensure every proposal is fully customised and all elements are available at the time of proposal.

Step Three: We present a fully curated, creative itinerary and two quote documents. One quote is for you and includes your commission on the hotels and on the touring elements. The other quote document is for your client and shows only the gross amount and the list of inclusions. While all services and hotels are available at the time of proposal, we cannot guarantee they’ll be available at the time of decision, so we recommend feedback as soon as possible to avoid disappointment. As a courtesy to you, we will initiate putting the hotels on a secured hold if availability is limited or by request in special circumstances. At this time, you and your clients may review the proposal and provide us with any feedback or changes which we happy to make to ensure the clients are pleased.

Step Four: Once the clients are happy, we require a 25% non-refundable deposit payment to secure all elements. Then, when balance is paid in full, we begin working on an AXUS itinerary and add you as a collaborator.

Important notes on how we work:

After we propose the itinerary, if we do not hear from you after 3x follow up, we will regrettably have to release all holds. We are delighted to pick up again when the clients are ready to proceed; however, we must then do our due diligence and recheck availability and costs which may have changed since the initial proposal.

We do not provide line-item break downs of costs. We break out the costs of the hotels from the touring elements on our quote documents. By request, we can isolate the costs of any premium experiences or days on the itinerary that may be impacting the overall cost of the tour.

We do not charge any additional fees (such as credit card fees) at the point of purchase on our payment link. All of our fees are included in our costs.

We do not book stand-alone elements such as transfers only or day-tours only. We provide a consultative and creative service that includes all elements of a multi-day itinerary.

We cannot make dining reservations at any restaurants outside of the hotel properties. Most restaurants in Ireland require a credit card to confirm a dining reservation and due to frequent client “no-shows” and our our card being charged the penalty fees (which can be quite steep in Ireland), we no longer offer this service. Neither can we accept a client’s personal card details by phone or email etc., so as an alternative we offer a dining recommendations list for local dining and can forward the reservation weblinks directly to the advisor/client to manage that reservation. Our team will forward dining recommendations once the deposit is collected. For clarity, we can and do manage dining reservations on property when we book the hotels.

We require to manage and book all elements of the itinerary including the hotels, but by that same token we want to ensure this is a win/win for you and your clients, so with Crafted Ireland, you can expect:
1. Price transparency: We book at the Best Available Rate, and this includes 10% commission to you net of VAT.
2. Ease of Terms: We adhere to the cancellation policies of the individual properties.
3. Advisor Recognition: We include your name and your agency’s name on the hotel bookings.
4. Extra Value: We pass through all your consortia amenities, so you can continue to offer your perks that your clients expect from you.
5. Ease of Follow Up: When we book all elements on your behalf, there is only one contact for you to follow up with post-trip to track and invoice for your commissions.

With regards to cancellation terms for the hotels: For accommodation, we adhere to the cancellation terms of each individual property. This applies once the client has paid Crafted Ireland in full. If the clients cancel after full payment has been submitted, the hotel costs are refundable once they are within the hotels cancellation policy.

Our cancelation policy for the remaining touring elements is as follows:

Cancellations more than two calendar months prior to Itinerary start date …….……   25% of total Tour Value is forfeit.
Cancellations between two calendar months and 31 days prior to Itinerary start date …….……  50% of total Tour Value is forfeit.
Cancellations between 30 days and the Itinerary start date …….……  100% of total Tour Value is forfeit.

*As your clients are making a significant investment, we strongly recommend that you encourage them purchase Travelers’ Insurance.

We do require a budget range to begin. Budget recommendations below (based on two people traveling, one shared room):- please let us know which budget below best aligns with your clients’ expectations. (Although these are based on only two people, they are a good base for planning and expectations. When the numbers traveling increase, the shared costs become less per person. Shared costs include driver/guide or transportation and private guides and some experiences that are based on a flat rate rather than per person. If one person is traveling, the costs increase per person as there is no shared costs)

Includes 4-star hotels, driver/guide, basic private and self-guided experiences: EUR €1,100 per person/per day is the minimum budget that we can work with to move forward for an itinerary with driver/guide. If the budget falls below this, your clients may want to consider a self-drive itinerary. (from EUR €600 per person/per day)

Includes entry-level 5-star hotels, driver/guide, private experiences: From EUR €1,650 per person/per day is a great starting expectation for those looking for a private driver/guide, plus entry-level 5-star accommodation and immersive and private experiences.

Luxury Experience – Includes Luxury hotels with mid-level rooms, castles and private experiences: From EUR €2,000 per person/per day can be expected for a lovely 5-star trip to include castle stays, a private driver/guide and luxury experiences with VIP airport arrivals.

Ultraluxe – Includes premium luxury hotels and castles and exclusive private experiences: Please let us know the clients’ budget parameters and we build the itinerary to suit their wishes and preferences.
